We built Spotable because term-time programmes shouldn’t be held together by goodwill.
If you run a recurring, limited-capacity programme, you already know the truth: parents assume their child has a place. Most systems treat that place as temporary - and you spend your week protecting it by hand.
Spotable is built around a simple rule: Your spot is yours until you cancel.
That rule turns scarcity into something calm, fair, and enforceable - without creating more admin.
Our belief: if a place matters, the system should treat it like it matters. Not as a booking. Not as a suggestion. As a commitment.
The problem we kept seeing
The conflict isn’t parents. It’s uncertainty.
Programmes become stressful when the rules exist in someone’s head instead of inside the system. When capacity is scarce, every exception becomes a conversation - and every conversation becomes work.
Most clubs don’t have a booking problem.
They have a capacity certainty problem.
Re-booking loops, unreliable waiting lists, credits, refunds, “just message me” policies - these are symptoms of the same issue: the tool is built for events, but the business is built on entitlement.
The insight
Scarcity needs rules - not goodwill.
When places are genuinely limited, “flexibility” usually means this: the operator quietly carries the risk, and the system quietly refuses to make decisions.
We think that’s backwards. A good system should protect fairness automatically, so relationships stay healthy.
What we built instead
A model built around place ownership.
Spotable is not a booking tool. It’s a capacity-reserved membership platform for recurring programmes.
Places are held until cancelled
Families don’t re-book weekly. The place remains theirs until they leave.
Capacity is enforced automatically
Full means full. Waiting lists mean something. Places free up properly when someone leaves.
Billing matches what will run
Monthly in advance, based on scheduled sessions - term dates and planned breaks included.
Opinionated by design
It won’t suit drop-in models. It’s built for structured programmes where places matter.
The transformation
We want running a full programme to feel calm.
Calm doesn’t come from doing more admin. It comes from a model that makes fewer things ambiguous.
When parents know the rules, and the system enforces them consistently: disputes fall, churn drops, and operators get their time back.
Our goal isn’t to optimise scheduling.
It’s to remove the weekly certainty loop entirely.
See if Spotable fits your programme.
If you run recurring, limited-capacity term-time sessions and want fairness without friction, a short walkthrough will make it clear whether this model is right.
If it’s not a fit, we’ll tell you. Spotable is selective by design.
